Vestry Meeting Minutes
September 17, 2020
 
The Vestry meeting was called to order at 6:38 p.m. by Fr. Tom, in Trinity Hall so as to Social Distance safely.
 
Members Present: Fr. Tom, Rector; Charlene Connolly, Senior Warden;  David Abernethy, Treasurer; Don Anderson, Junior Warden; Joyce Cashin, Judy Allen,  Lee Perry, Dick Emerson, Yvon Hive and Van Geoghegan. Guest present was Richard Breithaupt and guest on phone was Peter Lund, manager of the Farmers’ Market.
 
Fr. Tom opened the meeting with a Prayer and ponderings of the last few months.
 
Minutes: Dick moved that the August minutes be approved, and Van seconded the motion. The motion was unanimously approved. 
 
Financials:  The July and August  financials were reviewed with the vestry by David Abernethy. July’s income was up 12% from budget and August was down ½ %  from budget. David stated the comptroller was back to using Church Windows to produce the financial reports.
 
Farmers” Market:
Via phone call Peter Lund discussed the Farmers’ Market. His findings and report are attached. The decision was made to have a soft opening consisting of produce and seafood vendors only on November 7. We would go week by week to decide if we are able to open up to more vendors, which will depend on the county farmers’ market rulings. We will not have the Gift Shop or Unique Boutique open up at this time. Don made a motion to accept Peter’s decision and Dick seconded the motion. The motion was unanimously approved. 
 
Rectors Reports
 
1.      Wi-Fi in Church:
Fr. Tom reported he is received a bid from Parageeks for $1000. Fr. Tom said he will call Comcast to see what a bid would be to have a phone line and Wi-Fi put in the church. 
 
2.      Convention/Convocation:
Fr. Tom reported the September 2 Convocation went really well and the Diocese was very happy with the results, voting, and attendance.
Charlene brought up that St. Paul's should share with the parishioners the upcoming workshops and seminars that will be streamed on the internet to go along with the Convention that will be held live streamed on October 16 and 17. Fr. Tom welcomed the Vestry and parishioners to join him on September 23 at 7 pm, in the church while he live streams his workshop call “The Baptismal Covenant: Five Questions That Should Change Your Life”.
 
3.      Season Worship Plan:

Fr. Tom with the support of the Vestry will continue 9 am Sunday services for the time being.
 
4.      Sheriff’s Office agreement:
Fr. Tom said he signed an agreement with the Sheriff Office to enable them to come onto our property without our authorization to ask loiters to leave the church campus. This will be in effect till December  2021.
 
5.      Retirement Announcement:
Fr. Tom announced that Fr. Panel Guerrier will be retiring in the near future. He will still minister to the Holy Name of Jesus Church.
 
6.      ECW:
Joyce, ECW President reported  all ECW mtgs have been cancelled for the remainder of the year.  Joyce also called each of the guest speakers and told them that the meetings would not be held due to Covid 19. The ECW will still be collecting toys for the needy children in December. This year I believe the need will be greater due to the fact that so many people are out of work or have had their hours reduced. The balance in the ECW treasury  is $347.66 as of 9/15/2020.
 
7.      Church and Trinity Hall rental agreements:
Don reported Lee is working on the insurance portion of the renter agreement. It was also stated the rents have not changed for the past 7 years. Don is working with the Administrative Assistant on agreements. There are churches, charities, for profit groups, not for profit groups  and others using our facilities. We will be working on agreement with and without the kitchen and with and without chair and table setups. We will make sure the proper insurance in place and that St. Paul’s will not be held accountable. We will have the Sexton handle the setup and takedown of the chairs and tables to prevent damage to the property. We anticipate a recommendation to the Vestry in November for acceptance in December and effective on January 1, 2021.
 
8.      Property:
Junior Warden Don reported the lawn contractor will cut the campus and rectory lawns till the end of September.  St. Paul’s will need more volunteers to take care of our church campus. We want to welcome new God’s Gardeners to help our Thursday team. We will have an announcement at the church service and in the Weekly Update welcoming new gardeners.
 
9.      Rectory Maintenance:
Fr. Tom wanted clarification of maintenance, replacement of appliances and upkeep of the rectory and who will be billed for it. The Junior Warden should be able to approve the minor bills of the rectory. $1000. Over this amount the Vestry must approve the charges.
Fr. Tom checked out the cost of replacing the rectory windows. The bid was $30,000. This project was tabled.
 
10.  Stewardship Plans:
Senior Warden Charlene reported on the Stewardship Drive. She discussed with the Stewardship Chair, Linda Connelly, on having a fall or winter drive. The consensus of the Vestry was to hold a Fall Fundraiser and do the Stewardship Drive in January when more folks are back in Naples and the pandemic lessens. 
 
 
Adjournment was at 8:17 pm.
Next meeting will be October 15, 2020 at 6:30 pm.
